A private aviation company needed a complete operations management platform to handle the full lifecycle of charter flights, from quoting through post-flight reporting
The client operated a growing private aviation charter business but was managing flight operations across disconnected spreadsheets, email threads, and paper-based workflows. They needed a unified platform to handle the entire trip lifecycle—quotes, contracts, invoices, itineraries, crew assignments, and post-flight reports—while supporting multiple aircraft, FBOs, and a growing team of agents. The system also needed a full CRM for managing client relationships, financial reporting for tracking revenue and margins, and the ability to generate professional PDF documents for every stage of the booking process.
The Solution
Designed and built a comprehensive operations management platform using Rails 8 with Hotwire and Tailwind CSS. The system manages 30+ interconnected models covering trips, aircraft, airports, FBOs, crew, companies, and contacts. Built a complete document generation pipeline using Prawn to produce professional PDFs for quotes, contracts, invoices, itineraries, booking forms, and post-flight reports. Integrated Mapbox for static maps and Selenium for automated map screenshots in itineraries. Implemented role-based access control with Devise and Pundit, full-text search with PG Search and Ransack, bulk CSV imports for data migration, and a finance hub with revenue, cost, and margin analytics. Shipped with dark/light theme support and deployed via Kamal.
The Results
Delivered a production-grade SaaS platform that replaced fragmented workflows with a single source of truth for all charter operations. The platform handles the complete trip lifecycle from initial quote through post-flight reporting, generates professional PDF documents on demand, and provides real-time financial visibility across all operations. The system supports multi-agent collaboration with role-based permissions, enabling the team to manage flights, clients, and finances from one unified interface.
